At Rose Dermatology, we aim to make dermatology billing and insurance processing simple, transparent, and convenient for our patients. As part of our financial policy, we securely maintain a card on file to streamline payments and reduce delays.

NO CHARGES ARE MADE WITHOUT PRIOR NOTIFICATION.
This allows us to:

How Insurance Billing Works

We bill your insurance provider first as a courtesy.
Your insurance determines your responsibility — copay, deductible, or coinsurance.
You receive an electronic statement (e-statement) notification.
Any remaining balance will be processed using your card on file, unless you have opted out of automatic payments.

Card on File Policy

Our card on file policy helps ensure efficient billing for both medical dermatology and cosmetic services. Your card on file may be used for:
Copayments at the time of service
Deductibles and coinsurance balances after insurance processing
No-show fees
Late cancellation/reschedule fees
This is a standard practice in many dermatology and medical offices and helps reduce administrative delays.

Will I Be Notified Before Charges?

Yes — We Notify You First
Patients will receive an email notification before any charges are processed.
Our billing team is happy to help review your bill. For convenience, please email your questions to our Billling Manager, and she will follow up with you.

For detailed questions about insurance coverage or how your claim was processed, your insurance provider can provide the most accurate information.

Can I Opt Out of Automatic Payments?

Automatic payment is our standard billing method. A card on file is still required — but autopay can be declined.

A valid debit, credit, or HSA card on file is required to schedule and maintain appointments at Rose Dermatology. This card is required to secure appointments and cover applicable appointment-related fees, including no-shows and late cancellations or reschedules, which are not covered by insurance.
If you prefer not to have your card on file used for automatic balance payments after insurance processing, you may opt out of autopay.
A $175 deposit will be collected at the time of service if you opt out of autopay.
The $175 deposit is applied toward your visit, including your copayment, after your insurance claim is processed. If your balance is zero, the remaining amount is refunded. This is not an additional fee—it is a temporary prepayment.
Refund Timeline
Refunds are processed on a monthly basis after your insurance claim has been finalized and are typically issued within 7 to 14 business days of processing. Depending on timing, refunds may take up to one billing cycle to appear.
Any remaining patient responsibility after insurance processing — including deductibles, co-insurance, copays, or non-covered services — remains the patient's responsibility under our financial policy.
Example of How the Deposit Works
If your balance is $0 → your deposit is fully refunded
If your balance is less than $175 → the balance is applied, and the rest is refunded
If your balance is more than $175 → the deposit is applied, and the remaining balance is billed

Missed Appointments & Cancellations

At least 24 hours' notice is required.

As part of our dermatology office policies, we require at least 24 hours' notice for cancellations or rescheduling. Your card on file may be used for:
No-show appointments
Late cancellations or reschedules
These fees are not covered by insurance and help us manage scheduling availability for all patients.

VA Dermatology Patients

Special considerations for Veterans Affairs patients.

For patients receiving care through the VA (Veterans Affairs):
VA-authorised visits are typically covered
However, the VA does not cover missed appointment fees
A card on file is required to secure appointments

Outstanding Balances & Collections

Fair and consistent billing practices.

To maintain fair and consistent billing practices:
Appointment restrictions — Unpaid balances may result in appointment restrictions or scheduling holds.
Collections referral — Accounts may be referred to a collections agency between 90–120 days from the date of service if unresolved.
